Email Warmup: Understand and Manage Your Sending Limits

Published:

When you start sending emails from a new MailerLogic account, your sending volume may be temporarily limited. Email Warmup gradually increases your sending limit so mailbox providers such as Gmail, Outlook, and Yahoo can establish trust in your sending activity. This guide explains how warmup works, how to track your progress, and what you should do during the warmup period.

Step 1: Open Email Warmup

Sign in to your MailerLogic account and open 'Email' ->  'Email Warmup'.

The page shows whether your account is currently in warmup and provides information about your sending progress and current limits.

If warmup is not enabled for your account, the page will indicate that your normal plan limits apply.

Step 2: Understand Why Warmup Is Required

New sending accounts have little or no sending history. Mailbox providers cannot immediately determine whether a new sender is a legitimate business or a spammer.

Warmup gradually increases your sending volume instead of allowing a large volume of emails to be sent immediately. This gives mailbox providers time to observe your sending patterns and recipient engagement.

Warmup is temporary and is designed to help establish a healthy sending reputation.

Step 3: Check Your Warmup Progress

The Email Warmup page displays your current progress, including:

Current day: Shows where you are in the warmup period, such as Day 4 of 15.

Days remaining: Shows how much time is left before warmup is completed.

Current limit: Shows how many emails you can send based on your current warmup stage.

Today's usage: Shows how much of your available sending limit you have already used.

Progress: Displays your progress through the warmup period.

The default warmup period is 15 days, and your sending limit increases as you progress.

Step 4: Send to Engaged Contacts

During warmup, start with contacts who are most likely to interact with your emails.

Recent signups, active customers, and contacts who have specifically requested communication are good starting points. As your sending limit increases, you can gradually expand your audience.

Strong engagement helps mailbox providers recognize your messages as wanted email.

Step 5: Clean Your Contact List

Clean your contact list before sending during warm-up. Old, purchased, or scraped lists can result in high bounce rates and spam complaints, which can negatively affect your sender reputation.

If you're unsure about the quality of your contacts, validate your list before sending. This helps reduce unnecessary bounces and protects your sending reputation.

Step 6: Authenticate Your Sending Domain

Before sending, verify your sending domain and configure the required authentication records.

Set up SPF, DKIM, and DMARC for your sending domain. Authentication helps mailbox providers verify that your emails are authorized and come from a legitimate sender.

Also use a recognizable From name and email address, and make sure you are sending from a domain that you control.

Step 7: Send Consistently

Maintain a steady sending pattern throughout warmup.

Avoid sending nothing for several days and then using your entire available limit at once. A consistent daily sending pattern provides a more predictable signal to mailbox providers.

Plan larger campaigns around your current daily limit instead of trying to send everything at once.

Step 8: Send Useful Content

Focus on content that recipients expect and want to receive.

Warmup is not the ideal time for aggressive promotional campaigns. Start with useful, relevant content that encourages recipients to open, click, or reply.

Make sure every marketing email also provides an easy way for recipients to unsubscribe. A clear unsubscribe option is preferable to recipients marking unwanted messages as spam.

Step 9: Monitor Your Sending Health

Review your email reports regularly during warmup.

Pay particular attention to bounces and spam complaints. If you notice these metrics increasing, pause and investigate the cause rather than increasing your sending volume.

A high bounce or complaint rate can negatively affect your sender reputation while it is still being established.

Step 10: Monitor Your Sending Limit

If you reach your current warmup limit, additional sends may be held or rejected until the limit resets.

Check the Email Warmup page before scheduling a large campaign and divide larger sends across multiple days when necessary.

Remember that attempted sends count toward your available sending allowance, so sending to invalid addresses can consume your limit unnecessarily.

Step 11: Complete Warmup

Continue following a consistent sending pattern until your warmup period ends.

When warmup is complete, the Email Warmup page confirms that the restrictions have been removed. Your account then uses the normal limits included with your plan.

If you were never placed in warmup, no action is required, and your regular plan limits apply directly.

Step 12: Request Early Verification

If you have an established sending history from another email platform, you can contact MailerLogic Support to request early verification.

The support team reviews the account before deciding whether the warmup restriction can be removed. Established senders with a good sending history are generally the strongest candidates.

Early verification is not automatic, and you should continue following good sending practices while your request is reviewed.

Frequently Asked Questions

Why is my sending limit below my plan limit?

Your account may currently be in the Email Warmup period. Open Email Warmup to see your current limit and remaining warmup days.

Can I skip warmup?

You can request early verification by contacting Support. The team will review your account and typically respond within 24 hours. Early verification is not guaranteed.

What happens when I reach my daily limit?

Additional sends may be held or rejected until your limit resets. Plan larger campaigns around your current warmup limit or spread them across multiple days.

Does warmup apply to transactional emails?

Yes. Warmup limits apply to your account's sending activity, and transactional emails count toward the applicable sending limits.

I'm moving from another email platform. Do I still need warmup?

Generally, yes. Your previous sending reputation does not automatically transfer to MailerLogic's sending infrastructure. If you have an established and healthy sending history, you can request early verification.

Does upgrading my plan restart warmup?

No. Warmup is based on your account's sending history rather than your plan. Upgrading your plan does not restart the warmup period.

My warmup is complete, but I'm still seeing limits. What should I check?

After warmup, your account follows its normal plan limits. Check Usage to review your daily and monthly usage. If your sends are being blocked rather than capped, review your Bounces and account health.

Do bounces count toward my daily limit?

Attempted sends count toward your sending allowance. This is another reason to validate your contact list before sending.
