Managing Teams and User Invitations in MailerLogic

Published:

MailerLogic Teams lets account owners invite colleagues to work together without sharing login credentials. You can assign roles, manage team access, and control what each member can do within your account.

Teams are available on paid plans. The account owner always uses one seat, while pending invitations also reserve seats. Check the Teams page to see how many seats are available before inviting someone.

Step 1: Open Teams

Sign in to MailerLogic as the account owner and open 'Teams' from the sidebar.

1

Step 2: Choose a Role

Before sending an invitation, decide what access level the person needs. MailerLogic provides four member roles:

RoleBest forAccess
View onlyStakeholders who only need visibilityCan view account data but cannot make changes
Manage CRMPeople managing contacts and listsCan manage contacts, segments, tags, and properties
Manage EmailsMarketers managing email activityCan create, edit, and send campaigns, templates, and automations
AdminTrusted team membersBroad access to account features

The owner is separate from these roles and remains responsible for billing and team management.

Step 3: Invite a User

From the 'Teams' page, click 'Invite user'.

2

Step 4: Enter Organization Name

Enter the 'Organization Name' to indicate which organization the person is joining.

3

Step 5: Invite a User

Enter the person's 'Email address', select their 'Role', and click 'Send invite'.

4

Step 6: Wait for Acceptance

The invited person receives an email containing an 'Accept invitation' button. The invitation remains pending until they accept it.

6

Step 7: Accept the Invitation

Once accepted, the member becomes 'Active', and the invitation link can no longer be used.

The invited user should open the invitation link using the same email address that received the invitation.

If they are already signed in with that email, the invitation is accepted automatically. Otherwise, they can sign in or create a MailerLogic account using the invited email address and then open the invitation link again.

Step 8: Manage Team Members

As the owner, you can manage your team directly from the 'Teams' page. To change someone's access, use the role dropdown on their member row.

7

Step 9: Remove a Member

You can also remove an active member or cancel a pending invitation using the 'Delete' icon.

8

Step 10: Manage Your Seats

Your available seats depend on your plan. The owner counts as one seat, and every pending or active team member uses an additional seat.

For example, a plan with five total seats allows the owner plus four additional team members. When all seats are occupied, the Invite user option is disabled until you remove a member or upgrade your plan.

On the Free plan, team members are not available, and the owner is the only seat.

Troubleshooting

The invitation says it is for a different email

The invitation is tied to the exact email address it was sent to. Ask the user to sign in with that email address, or resend the invitation to the correct address.

The invitation has expired

Invitation links expire after 14 days. From Teams, click Resend to send a new invitation.

I cannot invite another user

Check your available seats at the top of the Teams page. Pending invitations also count toward your seat limit. If all seats are occupied, remove an unused member or upgrade your plan.

The invited user already has a MailerLogic account

They can accept the invitation without affecting their existing account or data. After accepting, they can switch between their own account and the account they joined.

Frequently Asked Questions

Can team members access billing or change the plan?
No. Billing and plan changes remain under the account owner's control.

Do pending invitations use a seat?
Yes. A pending invitation reserves a seat until it is accepted, removed, or expires.

Can I change a member's role later?
Yes. The owner can change a member's role directly from the Teams page, and the change takes effect immediately.

Does removing a member delete their MailerLogic account?
No. Removing someone only revokes their access to your account. Their own MailerLogic account remains unaffected.

What happens when I remove a team member?
Their access is revoked immediately, and the seat becomes available for another invitation.
